The Employee Relations & Compliance – Chief Manager will be responsible for fostering a positive, transparent, and legally compliant work environment across the organization. This senior role oversees the full spectrum of employee relations programs, ensures robust adherence to labour laws, statutory requirements, and establishment- and branch-level compliances, while proactively addressing workplace issues to sustain high levels of employee engagement and organizational harmony.
The incumbent will act as a trusted advisor to business leaders, managers, and employees, championing fair, consistent, and compliant application of HR policies and practices. In addition, the role will lead governance mechanisms for labour, establishment, and branch compliances, mitigate compliance-related risks, and ensure timely and accurate regulatory reporting and audits. Through strategic counsel and effective issue resolution, the Chief Manager will play a critical role in maintaining a compliant, ethical, and employee‑centric organizational culture.
Role & Responsibilities
Drafting & Communication
· Prepare disciplinary letters such as show cause notices, warnings, suspension, and termination letters.
· Ensure timely review, approval, and dispatch of these letters to relevant stakeholders.
· Draft compliance-related letters, submissions, and responses for labour authorities, government bodies, and auditors.
Case Management
· Coordinate with Regional HR teams to ensure timely closure of disciplinary cases and adherence to due process.
· Prepare and issue Show Cause Notices (SCN) under Performance Improvement Plans (PIP) and monitor closure of PIP cases.
· Oversee investigations, domestic inquiries, and documentation for cases involving labour law implications.
· Ensure legal and regulatory compliance in all disciplinary actions, mitigating compliance‑related risks.
Compliance Management (Labour, Establishment & Branch)
- Monitor adherence to labour laws, Shops & Establishment Acts, industrial relations regulations, and other statutory requirements.
- Ensure timely renewal of licences, registrations, and statutory displays across branches and establishments.
- Lead internal compliance audits, manage closure of audit observations, and ensure adherence to legal standards.
- Liaise with external agencies, legal counsel, and government authorities for inspections, notices, and filings.
- Track compliance risks, implement preventive measures, and ensure organisation‑wide governance of statutory requirements.
Reporting & Analytics
· Maintain and update MIS for all disciplinary and compliance cases.
· Share weekly trend analysis reports on ER matters and compliance deviations with key stakeholders.
· Submit disciplinary and compliance case details to the FMR team and compliance committees within stipulated timelines.
· Generate compliance dashboards covering labour law filings, branch compliance status, and establishment-level requirements.
Data & Documentation
· Ensure all disciplinary documents are accurately stored in the Data Management System (DMS) for compliance and audit purposes.
· Maintain centralized repositories of labour law registers, statutory filings, licences, and audit reports.
· Ensure error‑free documentation for inspections, audits, and regulatory submissions.
Training & Awareness
· Conduct training sessions on disciplinary processes, labour law compliance, and statutory obligations for HR teams and managers.
· Develop and circulate informative communications on ER policies, compliance updates, and regulatory changes to Regional/Circle HR teams.
· Drive compliance awareness campaigns across branches and support functions.
Advisory & Support
· Provide guidance and resolve queries from Regional/Circle HR teams regarding disciplinary processes, labour laws, and statutory compliance.
· Act as the internal subject-matter expert (SME) for all matters related to employee relations and compliance.
· Suggest process improvements in consultation with stakeholders to enhance efficiency, fairness, and compliance.
· Support business leaders with advisory inputs on ER risks, compliance implications, and policy interpretation.
